How to add a DRAFT or CONFIDENTIAL watermark to any document

Word offers DRAFT and CONFIDENTIAL under Design, then Watermark. Google Docs takes typed text under Insert, Page elements. PowerPoint needs a text box on the slide master, Excel uses a header picture on Windows and a WordArt box on Mac, and Acrobat uses Edit, then Watermark, then Add. A PDF tool covers the rest.

Draft watermark in Word and on all pages

Word is the easiest case. On the Design tab, select Watermark and choose a pre-configured mark: Microsoft names DRAFT, CONFIDENTIAL and DO NOT COPY (Microsoft). Its all pages page shows no extra step for covering every page.

In Word for Microsoft 365 on Windows (steps checked October 2026):

  1. On the Design tab, select Watermark.
  2. Choose DRAFT or CONFIDENTIAL from the gallery.
  3. Check the page in File > Print.

Word for the web cannot insert a watermark, and it shows only ones already in the document. The full steps, a picture watermark and the Mac differences are in our guide to adding a watermark in Word.

Draft watermark in Google Docs

Google's Watermark panel offers Text or Image and its page lists no ready-made words, so you type the word. Google says text or image watermarks appear behind your text and repeat on every page (Google). On a computer, go to Insert > Page elements > Watermark, click Text, type DRAFT or CONFIDENTIAL, and click Done.

Google documents that you cannot use watermarks in a pageless document, and cannot add one in the phone and tablet apps. Details are in our guide to adding a watermark in Google Docs.

Draft watermark in PowerPoint

Microsoft says PowerPoint has no gallery of ready-made watermarks (Microsoft). Its method is a text box on the slide master: select View > Slide Master, select the master at the top, insert a text box, type DRAFT or CONFIDENTIAL, choose a light font fill colour, and exit Slide Master. Microsoft says all slides except title pages will have the text. The one-slide method and the Mac route are in our guide to adding a watermark in PowerPoint.

Confidential watermark in Excel

Microsoft says there is no Watermark button for this feature in Excel for Mac; its page there uses a WordArt text box in Page Layout view with the transparency set to 50% or more (Microsoft). On Windows, Microsoft's Excel watermark page puts a picture in the header: select Insert > Header & Footer and use Picture. The steps are in our guide to adding a watermark in Excel.

Confidential watermark in a PDF

Adobe describes a watermark as fixed text or an image added to a PDF to indicate ownership, display branding, or mark content as confidential (Adobe). In Acrobat on desktop, open the PDF, select Edit, then Watermark > Add from the left pane. Choose a Source (Text, or File for an image), set Appearance and Position, and select OK. We cover Acrobat in a separate guide to adding a watermark in Acrobat.

Without Acrobat, Fix Watermark adds a text or logo watermark to every page of a PDF, or only the pages you choose, in your browser, and your PDF is not uploaded. In our PDF tool on any current browser (steps checked October 2026):

  1. Open the PDF watermark tool and drop in your PDF, or choose it.
  2. Type DRAFT or CONFIDENTIAL as the text.
  3. Enter all for every page, or a range such as 1-3.
  4. Check the preview, then select Download.

DRAFT or CONFIDENTIAL: which one to use

This part is our advice, not a rule from any vendor. We suggest DRAFT while the content can still change, so nobody mistakes it for the final version. We suggest CONFIDENTIAL when the content is final but the audience is limited. A page can carry both words if both are true, though one clear mark reads better than two. Make it large enough to read across the page and pale enough that the text beneath stays legible.

A watermark is a label, not access control

A watermark tells readers how to treat a document. It does not stop anyone from reading, copying or forwarding it; that is our statement, and it follows from what the vendors describe. Google says watermarks can be edited, and Adobe says its watermarks are embedded in the page. If a file is truly confidential, we suggest sharing it with access controls or encryption as well, set in the app you use for that.
